The agreement between us

These terms govern your use of ReputeFlows (the “service”). By creating an account, signing in, or using any part of the service, you agree to these terms. If you don't agree, please don't use the service. We've tried to keep this readable — questions go to legal@reputeflows.com.
1. Your account
- You must be at least 18 years old and authorised to act on behalf of the business you're registering.
- You are responsible for keeping your login credentials confidential and for all activity under your account.
- The information you provide (business name, location, etc.) must be accurate and up to date.
- If you believe your account has been accessed without permission, email hello@reputeflows.com immediately so we can lock it.
2. Plans, pricing, and payment
ReputeFlows offers a Free plan and three paid plans (Starter, Growth, Pro). Current prices are shown on the pricing page and on the in-app upgrade dialog.
- Paid plans are billed monthly in INR via Razorpay subscriptions. The first charge happens immediately upon checkout.
- Subsequent charges happen automatically on the same date each month until you cancel.
- Razorpay processes the payment; ReputeFlows never sees or stores your card or UPI details.
- Applicable Indian taxes (GST) are included in the displayed price.
- We may change plan pricing or features. If we increase the price of a plan you're actively on, we will email you at least 30 days before the change takes effect; you may cancel before the change applies if you don't accept it.
Plan limits — each plan has documented features and limits (e.g. AI replies per month, number of locations). Exceeding a hard limit will pause that feature until the next billing cycle or until you upgrade.
3. Cancellation and refunds
Cancel anytime
You can cancel your subscription from Settings → Billing at any time. Cancellation takes effect at the end of your current billing cycle — you keep access to all paid features until then, and you are not charged again.
Refund policy
- If you experience a critical, sustained service outage that prevents you from using the paid features for more than 24 hours in a billing cycle, email us within 7 days and we will issue a pro-rated credit or refund at our discretion.
- If a payment is charged in error (e.g. duplicate transaction, charge after a confirmed cancellation), email us and we will refund within 7 business days. The refund will be issued to the original payment method via Razorpay.
- Outside of these cases we do not offer refunds for partial-month usage, unused AI replies, or change-of-mind cancellations — cancel before the next renewal date instead.
- Annual or pre-paid arrangements (if offered) follow the terms of the specific contract.

4. Acceptable use
You agree not to:
- Use the service to generate content that is defamatory, harassing, deceptive, hateful, or unlawful
- Impersonate another business or individual when responding to reviews
- Bulk-import reviews you don't legitimately own or have permission to manage
- Reverse-engineer, scrape, decompile, or attempt to extract source code or model weights from the service
- Resell access to the service, except via our official partner programmes
- Use automated tooling to overwhelm our APIs beyond the documented rate limits
- Probe, scan, or attempt to bypass our security controls (responsible disclosure to legal@reputeflows.com is welcomed and protected)
Violations may result in suspension or termination without refund.
5. AI-generated content
- Replies suggested by the AI are drafts. You decide whether to send them. We are not responsible for the consequences of replies you choose to publish.
- The AI may occasionally generate inaccurate, awkward, or off-tone text. Always review before approving.
- Don't rely on AI replies for legal, medical, financial, or other regulated advice.
- We do not use your reviews or replies to train AI models. Our AI sub-processors (Anthropic, Google) operate under contractual commitments that exclude your inputs from their training data.
6. Google Business Profile integration
- Connecting Google is optional. We request read-only access to your Business Profile reviews; we never request the write scope and cannot post replies to Google on your behalf.
- You can disconnect at any time from Settings → Integrations. Disconnecting stops future syncs but does not delete reviews already imported into your inbox.
- Use of the Google API is also subject to Google's own terms; we comply with Google API Services User Data Policy, including the Limited Use requirements.
7. Your content and ownership
You own your business data, the reviews you upload, and the replies you approve. By using the service you grant ReputeFlows a limited, worldwide, royalty-free licence to host, process, transmit, and display this content solely as needed to operate the service for you.
If you delete a review or your account, this licence ends with respect to that content (subject to the retention rules in the Privacy Policy).
8. Our content and rights
The ReputeFlows software, design, brand, logo, marks, and documentation are owned by us. These terms don't grant you any right to use them outside the service. You may not copy, modify, or create derivative works of the product itself.
9. Service availability and changes
- We aim for high availability but we don't guarantee uninterrupted service. Planned maintenance windows are announced in advance whenever feasible.
- We may add, remove, or change features. We won't materially reduce a paid plan's features mid-cycle without offering a credit.
- Critical security fixes may be deployed without prior notice.
10. Suspension and termination
We may suspend or terminate your account if you breach these terms, fail to pay, or use the service in a way that risks harm to other users, our infrastructure, or our reputation. We will give you reasonable notice and an opportunity to fix the problem unless the breach is severe.
You may close your account at any time by emailing hello@reputeflows.com. Your data is removed per the Privacy Policy retention rules.
11. Warranties and disclaimers
The service is provided “as is” and “as available”. To the maximum extent permitted by Indian law, ReputeFlows disclaims all implied warranties — including merchantability, fitness for a particular purpose, non-infringement, and accuracy of AI-generated content.
We make no commitment that the service will help you achieve specific business outcomes (more reviews, higher ratings, more bookings, etc.).
12. Limitation of liability
To the maximum extent permitted by law, ReputeFlows' total liability arising out of or related to these terms, in any 12-month period, is capped at the amount you paid to us in the 12 months preceding the claim — or INR 5,000 if you're on the Free plan.
We are not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost revenue, lost reputation, or loss of data, even if advised of the possibility of such damages.
Some jurisdictions don't allow exclusions of certain damages; in those places these limits apply only to the extent permitted.
13. Indemnity
You agree to indemnify and hold ReputeFlows harmless from any claim, demand, or damages (including reasonable legal fees) arising out of: (a) your breach of these terms; (b) your misuse of the service; or (c) your violation of any third-party right (including a customer's privacy or a competitor's intellectual property) through your use of the service.
14. Governing law and disputes
These terms are governed by the laws of India. Any dispute arising out of or relating to these terms or the service will be subject to the exclusive jurisdiction of the courts at Bengaluru, Karnataka.
Before going to court, both parties agree to attempt good-faith resolution by email for at least 30 days.
15. Changes to these terms
We may update these terms from time to time. Material changes will be communicated by email or in-app notice at least 14 days before they take effect. Continued use of the service after the effective date means you accept the updated terms.
